CVSA Registration
The following is meant to be a guide for team
captains to register their teams in the CVSA. In general, the CVSA accepts
applications from individual teams, who then register their individual players.
The league doesn't conduct a draft to place individual players on teams,
but does have an Available
Players page where individual players looking to get onto teams
are able to post detailed biographical information in order to facilitate
placement and contact from an interested team captain.
How to register your team and players for the upcoming
CVSA season...
NOTE: This Guide is published by the CVSA Board. Its provisions
supersede those of the CVSA Constitution and CVSA Bylaws, and do so under
authority granted by Article XII.A.1 of the CVSA Constitution. It is written
for the benefit of the players of the CVSA, and to cover situations not
foreseen by the CVSA Constitution and CVSA Bylaws.
Registering Teams
The Central Virginia Soccer Association (CVSA) holds registration
meetings approximately 1 month prior to the start of each season. At these
meetings, team representatives can fill out a Team Registration Form. An
initial monetary deposit is also required. The deposit is generally the
equivalent of the registration fees for 5 players. Teams are not considered
registered for a season unless both the Team Registration form and a complete
deposit have been received by the league. Information regarding the seasonal
registration meetings is generally posted on the CVSA website with at least
a week's notice
Registering Players
Step 1: The first step to getting your players registered is to figure
out which players you plan to have on your team and to gather registration
materials for each of them
Individual
Player Registration Forms can be printed from
the CVSA website. New players must complete these forms fully, including
signing the waiver of liability at the bottom. Please note that any
players under the age of 18 must have the waiver signed by a parent
or guardian
Player Passes must be filled out by all CVSA participants

- Blank Player Passes can be picked up
from the CVSA office
- When
filling out a Player Pass, please complete the Name, Birth Date and
Player's Signature lines. Please leave the I.D. No. blank.
A unique I.D. number will be assigned and filled in by the Registrar
at the time of registration

A picture is required for the pass to be
valid. Pictures must be in color, reasonably current and clear enough
to verify players identity. Please make sure the picture is clipped
or taped to the pass to ensure that the pictures and passes do not
get mixed up
**Please do not use Polaroid pictures
as they will melt in the heat of the laminating machine
For players who have participated in
previous CVSA seasons: Any players who have played in the CVSA in
the past, should already be in our registration database and the registration
forms should already be on file, therefore new registration forms are
not required. If these players have existing Player Passes, please collect
them so that they can be validated for the current CVSA season. If they
do not have existing player passes, new ones will have to be created
following the above steps
**Any players still using a Player Pass with a SSN as
the I.D. No. are required to have a new Player Pass made which will then be
assigned a new unique I.D. No. Those players will not be added to a roster until a new Player Pass is submitted
Step 2: Now that you've gathered complete
registration materials for all of the players you intend to register,
turn everything in to the CVSA office.
The office is located at 1385 Overbrook Road View CVSA Office in a larger map
Please
drop off your Player Passes and Player Registration Forms. Registrations
will not be processed "on the spot." Please allow 1 business
day for your Passes to be Processed
Step 3: Once the CVSA has received
your team's Player Passes and Registration Forms, we will enter any new
players in the CVSA's registration database, add each player to your team,
validate all Player Passes for the current CVSA season and print a team
roster. Once complete, you will be contacted to arrange pickup.
Step 4: All
that's left to do is to retrieve your validated Player Passes and roster.
It is highly recommended that you call or e-mail the office to verify that

What
to do during the season
Regular Season Protocol: Make enough copies of your roster to
have one available at each of your games. Make sure to have a copy of
your roster and all of your Player Passes at each match. Before each game,
the referee will request a copy of your roster and your Player Passes.
They will check the passes against the roster and the players at the field.
The roster will be kept and submitted to the league as a final game report.
Your Player Passes will be returned to you at the completion of the match
Adding or removing players
once the season has started
Player Additions: Players may be added
to your roster once the season has begun by following the above guidelines.
For any player added, the team is responsible for the entire player fee
for that player, regardless of what point in the season the player is
added. Whenever a team's roster is altered, a new roster is created by
Shelley. It is important that the new roster be used for all subsequent
matches. Any Player Additions requested past the announced Roster Freeze
Date are subject to and reliant upon CVSA Board approval
Player Removals:
Players may be removed from your roster only if he/she has not participated
in any games with your particular team. Game reports will be reviewed
to verify that any requested removals have not played. Whenever a team's
roster is altered, a new roster is created. It is important
that the new roster be used for all subsequent matches. Any removals requested
after the first game are subject to and reliant upon CVSA Board approval. After
the announced Roster Freeze Date, there is a $25 player removal fee for any
approved player removals
Players registered on multiple teams
Restrictions: Players may be registered on as
many teams as they'd like. However, per Article II.F.3. of the
CVSA Bylaws, "Under
no circumstances may a player be registered on two or more teams within the same
division at the same time"
Player Passes: Players who are on
multiple teams are encouraged to have multiple Player Passes made, one
for each team with which they are playing. This will help alleviate the
occurrence of a player not having his/her Player Pass at their match because
they forgot to retrieve the Pass from their other team
** Any players still using a Player Pass
with a SSN as the I.D. No. will need to replace their old Player Pass
by having a new one made. When a new Player Pass is made, a unique
I.D. No. is assigned to replace the SSN. The team rosters will no longer
show the SSN as the I.D. No. and therefore, your old pass will no longer
match the roster. Replacing your old Player Pass with the SSN will rectify
this problem. Again, any player with an outdated Player Pass using the
SSN is required to have a new Player Pass made which will then
be assigned a new unique I.D. No.
